We take your privacy seriously - here's exactly how we handle your information
Look, we get it - nobody really enjoys reading privacy policies. But since we're lawyers who specialize in tech and data privacy, we figured we'd better practice what we preach and make ours actually readable.
At Lumivex Orion Legal Services, we've been helping companies navigate data protection laws for years. So yeah, we know how important your privacy is - both legally and ethically.
This policy lays out exactly what info we collect when you visit our site or become a client, what we do with it, and how we keep it safe. We're based in Toronto, Ontario, so we follow Canadian privacy laws like PIPEDA and take them seriously.
We're pretty upfront about what we gather. Here's the breakdown:
We're not doing anything weird with your information. Here's what we actually use it for:
Providing the corporate and tech law services you hired us for, communicating about your matters, managing your cases
Responding to your inquiries, sending case updates, sharing relevant legal developments that might affect you
Processing payments, keeping financial records, managing client accounts
Making our website better, understanding what content is helpful, improving our services
Meeting our professional obligations, responding to legal requests, preventing fraud
Sending newsletters and updates (only if you've opted in - we're not spammers)
We'll never use your info for anything that isn't directly related to our legal services or website operation. And if we ever wanted to use it for something new, we'd ask for your permission first.
Let's be crystal clear: we don't sell your personal information. Period. That's not our business model, and frankly, it'd be unethical given our profession.
That said, there are a few specific situations where we might share your info:
Sometimes we work with third parties to help run our practice - think cloud storage for documents, payment processors, scheduling software, that sort of thing. They only get access to what they need to do their job, and they're bound by confidentiality agreements.
If we're legally required to disclose information (court orders, subpoenas, regulatory requirements), we'll do so - but we'll fight it if we think it's improper, and we'll notify you unless we're prohibited from doing so.
Occasionally we might need to consult with other lawyers, accountants, or professional advisors. When we do, they're bound by the same confidentiality obligations we are.
If our firm were ever sold or merged (not planning on it, but you never know), your information would be transferred as part of that transaction. You'd be notified beforehand, and the new owners would have to honor this privacy policy.
If you explicitly ask us to share your info with someone - like co-counsel, expert witnesses, or third parties involved in your matter - we'll do that. But only with your clear permission.
Security isn't just something we talk about with clients - it's how we run our entire operation. Here's what we've got in place:
All data transmitted to and from our site uses TLS encryption. Client files are encrypted both in transit and at rest.
We use Canadian-based, enterprise-grade cloud storage that meets legal industry standards and is regularly audited.
Multi-factor authentication, role-based access, and strict password policies for everyone at the firm.
Automated daily backups with redundancy, so your data is protected even in worst-case scenarios.
Network security with active monitoring for suspicious activity and intrusion attempts.
Regular security training for all team members because humans are often the weakest link.
Yeah, we use cookies. Not the chocolate chip kind, unfortunately - these are the digital ones that help our website work better.
| Type | Purpose | Can You Opt Out? |
|---|---|---|
| Essential Cookies | Make the site actually work - security, session management, load balancing | No - Required |
| Functional Cookies | Remember your preferences, language settings, that sort of thing | Yes |
| Analytics Cookies | Help us understand how people use the site (we use privacy-focused analytics) | Yes |
| Marketing Cookies | Track effectiveness of our ads (we use these sparingly) | Yes |
You've got options:
Just heads up - if you block all cookies, some parts of the site might not work properly. But that's your call to make.
Under Canadian privacy laws (and just basic decency), you've got rights when it comes to your personal information. Here's what you can do:
Ask us what personal info we have about you. We'll give you a copy, usually within 30 days.
If something we have on file is wrong or outdated, tell us and we'll fix it.
Request that we delete your personal info (with some exceptions - like if we need it for ongoing legal work or to comply with regulations).
Get your data in a format you can take elsewhere if you want.
If you gave us permission to use your info for something (like marketing emails), you can change your mind anytime.
Object to certain types of processing (though we might need to keep processing if we've got a legitimate legal reason).
If you think we've mishandled your data, you can complain to the Office of the Privacy Commissioner of Canada. We'd rather you talk to us first though - we'll make it right.
Just reach out to us at contact@lumivexorion.info or call (416) 555-0847. We'll verify your identity (gotta make sure we're not giving your info to some random person) and then handle your request promptly.
We don't keep your info forever - just as long as we actually need it. Here's our general approach:
While you're our client and for a reasonable time after your matter closes, we keep everything. That's just good practice - you might need us to reference something later.
After your case or project is done, we typically keep files for 7-10 years. Why? Legal malpractice claims can be brought for years after the fact, and we need to be able to defend ourselves if needed. Plus, the Law Society of Ontario requires us to maintain certain records.
If you're on our mailing list or have contacted us but never became a client, we'll keep your info for about 3 years unless you ask us to delete it sooner.
Tax laws require us to keep financial records for at least 7 years. Can't get around that one.
When we delete data, we really delete it. We use secure deletion methods that make recovery impossible. We're not just moving files to a recycle bin and calling it a day.
Our website might link to other sites or use third-party services. Just so you know, we're not responsible for their privacy practices. Here are the main ones we use:
We use secure, PCI-compliant payment processors. They handle credit card info - we never see your full card number.
We use privacy-focused analytics tools to understand website traffic. These are configured to anonymize your IP address.
Our email platform helps us manage communications and newsletters. They're bound by strict data processing agreements.
We use Canadian-hosted cloud storage that's specifically designed for law firms with high security standards.
If you click a link to another website, you're leaving our site and we can't control what happens there. Always check their privacy policy if you're concerned.
Our services are aimed at businesses and adults. We don't knowingly collect information from anyone under 18.
If you're a parent or guardian and you discover your kid has given us their info, please let us know at contact@lumivexorion.info and we'll delete it immediately.
Honestly, if a 17-year-old is browsing corporate law websites, they're either incredibly studious or incredibly bored. Either way, they should probably be on TikTok instead.
We're based in Canada, and that's where we keep most of our data. If you're accessing our site from outside Canada, here's what you should know:
Your information is primarily stored on servers in Canada. We choose Canadian data centers specifically because Canada has strong privacy laws.
Sometimes we might need to transfer data internationally - like if we're working with co-counsel in another country on your behalf. When we do, we make sure there are proper safeguards in place (like Standard Contractual Clauses or other approved transfer mechanisms).
While we're not subject to GDPR (we're Canadian), we respect those principles and try to maintain similar standards. If you're from the EU or UK and have concerns about how we handle your data, reach out to us.
Privacy laws evolve, our practices improve, and technology changes. So yeah, we might update this policy from time to time.
We recommend checking back here occasionally, especially if you're a client or on our mailing list. Or just bookmark this page and we'll make sure the latest version is always here.
Got questions, concerns, or complaints about how we handle your privacy? We're here to help. Seriously - as lawyers who specialize in this stuff, we actually enjoy talking about privacy law.
