Privacy Policy

We take your privacy seriously - here's exactly how we handle your information

Overview

Look, we get it - nobody really enjoys reading privacy policies. But since we're lawyers who specialize in tech and data privacy, we figured we'd better practice what we preach and make ours actually readable.

At Lumivex Orion Legal Services, we've been helping companies navigate data protection laws for years. So yeah, we know how important your privacy is - both legally and ethically.

This policy lays out exactly what info we collect when you visit our site or become a client, what we do with it, and how we keep it safe. We're based in Toronto, Ontario, so we follow Canadian privacy laws like PIPEDA and take them seriously.

TL;DR: We only collect what we need, we don't sell your data to anyone, and we protect it like we'd protect our own.

We're pretty upfront about what we gather. Here's the breakdown:

Information You Give Us Directly
  • Contact Forms: Name, email, phone number, company name, and whatever you tell us in your message
  • Initial Consultations: Business details, legal issues you're facing, relevant documents
  • Client Intake: All the standard stuff we need to represent you - corporate records, IP portfolios, contract histories, etc.
  • Payment Info: Billing addresses, payment card details (though we don't store full card numbers - our payment processor handles that)
Stuff We Collect Automatically
  • Website Usage: IP address, browser type, device info, pages you visit, how long you stick around
  • Cookies & Similar Tech: Yeah, we use cookies (more on that below)
  • Location Data: General geographic info based on your IP - nothing creepy or precise
Attorney-Client Privilege: Once you become our client, everything you share with us is protected by solicitor-client privilege under Canadian law. We take that incredibly seriously.

We're not doing anything weird with your information. Here's what we actually use it for:

Legal Services

Providing the corporate and tech law services you hired us for, communicating about your matters, managing your cases

Communication

Responding to your inquiries, sending case updates, sharing relevant legal developments that might affect you

Billing & Admin

Processing payments, keeping financial records, managing client accounts

Improvement

Making our website better, understanding what content is helpful, improving our services

Legal Compliance

Meeting our professional obligations, responding to legal requests, preventing fraud

Marketing

Sending newsletters and updates (only if you've opted in - we're not spammers)

We'll never use your info for anything that isn't directly related to our legal services or website operation. And if we ever wanted to use it for something new, we'd ask for your permission first.

Let's be crystal clear: we don't sell your personal information. Period. That's not our business model, and frankly, it'd be unethical given our profession.

That said, there are a few specific situations where we might share your info:

Service Providers We Trust

Sometimes we work with third parties to help run our practice - think cloud storage for documents, payment processors, scheduling software, that sort of thing. They only get access to what they need to do their job, and they're bound by confidentiality agreements.

Legal Obligations

If we're legally required to disclose information (court orders, subpoenas, regulatory requirements), we'll do so - but we'll fight it if we think it's improper, and we'll notify you unless we're prohibited from doing so.

Professional Advisors

Occasionally we might need to consult with other lawyers, accountants, or professional advisors. When we do, they're bound by the same confidentiality obligations we are.

Business Transfers

If our firm were ever sold or merged (not planning on it, but you never know), your information would be transferred as part of that transaction. You'd be notified beforehand, and the new owners would have to honor this privacy policy.

With Your Consent

If you explicitly ask us to share your info with someone - like co-counsel, expert witnesses, or third parties involved in your matter - we'll do that. But only with your clear permission.

Bottom line: Your confidential legal information stays confidential. We only share what's necessary, and only with people who have a legitimate need to know and are bound to protect it.

Security isn't just something we talk about with clients - it's how we run our entire operation. Here's what we've got in place:

Encryption

All data transmitted to and from our site uses TLS encryption. Client files are encrypted both in transit and at rest.

Secure Storage

We use Canadian-based, enterprise-grade cloud storage that meets legal industry standards and is regularly audited.

Access Controls

Multi-factor authentication, role-based access, and strict password policies for everyone at the firm.

Regular Backups

Automated daily backups with redundancy, so your data is protected even in worst-case scenarios.

Firewalls & Monitoring

Network security with active monitoring for suspicious activity and intrusion attempts.

Staff Training

Regular security training for all team members because humans are often the weakest link.

Real talk: No system is 100% bulletproof. We do everything we can to protect your data, but if there's ever a breach that affects you, we'll let you know immediately and tell you what we're doing about it.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately - these are the digital ones that help our website work better.

What Cookies We Use
Type Purpose Can You Opt Out?
Essential Cookies Make the site actually work - security, session management, load balancing No - Required
Functional Cookies Remember your preferences, language settings, that sort of thing Yes
Analytics Cookies Help us understand how people use the site (we use privacy-focused analytics) Yes
Marketing Cookies Track effectiveness of our ads (we use these sparingly) Yes
How to Control Cookies

You've got options:

  • Use our cookie consent banner to choose what you're cool with
  • Adjust your browser settings to block or delete cookies
  • Use browser extensions or privacy tools

Just heads up - if you block all cookies, some parts of the site might not work properly. But that's your call to make.

Do Not Track Signals: We respect Do Not Track (DNT) browser settings. If you've got DNT enabled, we won't use tracking cookies.

Under Canadian privacy laws (and just basic decency), you've got rights when it comes to your personal information. Here's what you can do:

Right to Access

Ask us what personal info we have about you. We'll give you a copy, usually within 30 days.

Right to Correction

If something we have on file is wrong or outdated, tell us and we'll fix it.

Right to Deletion

Request that we delete your personal info (with some exceptions - like if we need it for ongoing legal work or to comply with regulations).

Right to Data Portability

Get your data in a format you can take elsewhere if you want.

Right to Withdraw Consent

If you gave us permission to use your info for something (like marketing emails), you can change your mind anytime.

Right to Object

Object to certain types of processing (though we might need to keep processing if we've got a legitimate legal reason).

Right to Lodge a Complaint

If you think we've mishandled your data, you can complain to the Office of the Privacy Commissioner of Canada. We'd rather you talk to us first though - we'll make it right.

How to Exercise Your Rights

Just reach out to us at contact@lumivexorion.info or call (416) 555-0847. We'll verify your identity (gotta make sure we're not giving your info to some random person) and then handle your request promptly.

We don't keep your info forever - just as long as we actually need it. Here's our general approach:

Active Client Files

While you're our client and for a reasonable time after your matter closes, we keep everything. That's just good practice - you might need us to reference something later.

Closed Matters

After your case or project is done, we typically keep files for 7-10 years. Why? Legal malpractice claims can be brought for years after the fact, and we need to be able to defend ourselves if needed. Plus, the Law Society of Ontario requires us to maintain certain records.

Marketing & Website Data

If you're on our mailing list or have contacted us but never became a client, we'll keep your info for about 3 years unless you ask us to delete it sooner.

Financial Records

Tax laws require us to keep financial records for at least 7 years. Can't get around that one.

When we delete data, we really delete it. We use secure deletion methods that make recovery impossible. We're not just moving files to a recycle bin and calling it a day.

Our website might link to other sites or use third-party services. Just so you know, we're not responsible for their privacy practices. Here are the main ones we use:

Payment Processing

We use secure, PCI-compliant payment processors. They handle credit card info - we never see your full card number.

Analytics

We use privacy-focused analytics tools to understand website traffic. These are configured to anonymize your IP address.

Email Services

Our email platform helps us manage communications and newsletters. They're bound by strict data processing agreements.

Document Management

We use Canadian-hosted cloud storage that's specifically designed for law firms with high security standards.

If you click a link to another website, you're leaving our site and we can't control what happens there. Always check their privacy policy if you're concerned.

Our services are aimed at businesses and adults. We don't knowingly collect information from anyone under 18.

If you're a parent or guardian and you discover your kid has given us their info, please let us know at contact@lumivexorion.info and we'll delete it immediately.

Honestly, if a 17-year-old is browsing corporate law websites, they're either incredibly studious or incredibly bored. Either way, they should probably be on TikTok instead.

We're based in Canada, and that's where we keep most of our data. If you're accessing our site from outside Canada, here's what you should know:

Data Storage Location

Your information is primarily stored on servers in Canada. We choose Canadian data centers specifically because Canada has strong privacy laws.

International Transfers

Sometimes we might need to transfer data internationally - like if we're working with co-counsel in another country on your behalf. When we do, we make sure there are proper safeguards in place (like Standard Contractual Clauses or other approved transfer mechanisms).

For EU/UK Visitors

While we're not subject to GDPR (we're Canadian), we respect those principles and try to maintain similar standards. If you're from the EU or UK and have concerns about how we handle your data, reach out to us.

Note: By using our website, you're consenting to your information being processed in Canada under Canadian privacy laws.

Privacy laws evolve, our practices improve, and technology changes. So yeah, we might update this policy from time to time.

What Happens When We Update
  • We'll update the "Last Updated" date at the top of this page
  • For minor changes (typos, clarifications), we'll just post the new version
  • For major changes that affect your rights, we'll email you if we have your contact info
  • We'll keep old versions available in the version history dropdown

We recommend checking back here occasionally, especially if you're a client or on our mailing list. Or just bookmark this page and we'll make sure the latest version is always here.

Promise: We'll never make changes that materially reduce your privacy rights without giving you a heads-up and a chance to opt out.

Got questions, concerns, or complaints about how we handle your privacy? We're here to help. Seriously - as lawyers who specialize in this stuff, we actually enjoy talking about privacy law.
